What we store

ReferraLens is a product of Buckeye Biz Hub, LLC. For each practice we store the login email and password hash, the referral reports the practice uploads, the figures we calculate from them, the practice's list of referring offices with the contact details it enters, the follow-up notes its team writes, and treat tickets: which office, which gift, which letter, the quote and the shipping status.

The referral report ReferraLens reads lists referring dentists, case counts and dollar totals. It contains no patient names and no clinical information, and neither does ReferraLens. If a file with patient information is uploaded by mistake, tell us and we delete it.

Who can see it

Your data belongs to your practice and is visible only to your practice's login. Each practice's data is separated from every other practice's by the database itself. Buckeye Biz Hub staff can open a practice's account only to run a report the practice asked for, to fulfil a treat order, or to fix a problem the practice reported, and never for any other reason.

We do not sell, share, license or trade your data. We do not use it for benchmarking, industry averages, marketing claims or case studies unless you give written permission first for a specific use. We do not contact the dentists named in your reports, and we do not use their names or addresses for any purpose of our own.

Services we use

Your data is stored with Supabase and the application runs on Vercel. Both process it only to run ReferraLens for us, under their standard customer terms, and neither uses it for purposes of their own. Email we send you, such as a password reset, goes through Supabase or Resend. When you use Find address on an office, ReferraLens queries the federal NPI Registry (npiregistry.cms.hhs.gov), a public directory of licensed providers, with the dentist's name, state and ZIP code so you can pick the right practice address; nothing else about your practice is sent, and nothing from the registry is stored until you choose an entry. We do not use advertising trackers.

How long we keep it

For as long as your practice is a customer. If you cancel, your practice account and everything in it is deleted within 30 days. If you sent us a report for a free ReferraLens report and did not continue, it is deleted within 30 days of the report being sent, or sooner if you ask. What you can ask for

At any time you can ask us to delete your data, tell you exactly what we hold, or send you a copy. Email David@referralens.com and it will be done within five business days.
