What we store

ReferraLens is a product of Buckeye Biz Hub, LLC. For each practice we store the login email and password hash, the referral reports the practice uploads, the figures we calculate from them, the practice's list of referring offices with the contact details it enters, the follow-up notes its team writes, and thank-you orders: which office, which gift, which letter, the quote and the shipping status.

The referral report ReferraLens reads lists referring dentists, case counts and dollar totals. It is built to list referring offices, not patients. If a patient's name ever shows up as a referral source, tell us and we'll delete it within 2 business days.

If you join a pilot or the waitlist on the dental specialists, law or real estate page, we store your name, email, firm or practice name, phone if you give it, and your answers to the form. We use them only to contact you about ReferraLens. Ask and we delete them.

The sign-up forms can use Cloudflare Turnstile to block spam. It checks your browser, not your answers.

Health information

ReferraLens is software for referral relationships: which dentists sent work, how much, and whether that changed. The reports we read list referring dentists and production totals. They are built to list referring offices, not patients.

Buckeye Biz Hub, LLC does not need patient records to run the service. We are not asking to be your electronic health record, and we do not contact patients.

You are responsible for what you upload. Please do not send files containing protected health information. If you discover that a file with patient information was uploaded or emailed to us, tell us at David@referralens.com. We delete that file as soon as we see your message, along with any copy we can reach, and confirm to you when it is done.

This page describes how we handle the practice data we intend to store. It is not a Business Associate Agreement and it is not legal advice. If your counsel requires a BAA before you use a vendor, ask us in writing before you send a report.

Who can see it

Your data belongs to your practice and is visible only to your practice's login. Each practice's data is separated from every other practice's by the database itself. Buckeye Biz Hub staff can open a practice's account only to run a report the practice asked for, to fill a thank-you order, or to fix a problem the practice reported, and never for any other reason.

We do not sell, share, license or trade your data. We do not use it for benchmarking, industry averages, marketing claims or case studies unless you give written permission first for a specific use. We do not contact the dentists named in your reports, and we do not use their names or addresses for any purpose of our own.

Services we use

Your data is stored with Supabase and the application runs on Vercel. Both process it only to run ReferraLens for us, under their standard customer terms, and neither uses it for purposes of their own. Email we send you, such as a password reset, goes through Supabase or Resend. When you use Find address on an office, ReferraLens queries the federal NPI Registry (npiregistry.cms.hhs.gov), a public directory of licensed providers, with the dentist's name, state and ZIP code so you can pick the right practice address; nothing else about your practice is sent, and nothing from the registry is stored until you choose an entry. We do not use advertising trackers.

Our public pages, such as the home page, pricing and the industry pages, use Vercel Web Analytics and Vercel Speed Insights to count visits and measure how fast pages load. They do not use cookies or follow you to other sites. They record the page address without anything after it, the site that sent you, your country, and your browser and device type. Nothing is sent from the pages you see after you sign in.

How long we keep it

For as long as your practice is a customer. If you cancel, your practice account and everything in it is deleted within 30 days. If you sent us a report for a free ReferraLens report and did not continue, it is deleted within 30 days of the report being sent, or sooner if you ask. What you can ask for

At any time you can ask us to delete your data, tell you exactly what we hold, or send you a copy. Email David@referralens.com and it will be done within five business days.

Last updated 22 October 2026. If this page changes in a way that affects your data, we email every practice before the change takes effect.
