How it works

One upload a month. The rest is a list.

Last year's best referrer sent half as much this year, and nobody in the office noticed. ReferraLens reads the report you already run, shows you who is slipping while there is still time to call, and puts that call on somebody's desk with a date on it. Then it handles the thank-you.

Export

Run the Referral Annual Totals report in your practice software for the current year and save it as a PDF. It already contains twenty-four months of history for every referring dentist. There are no patient names in it, which is why there are none in ReferraLens.

We do not use PBS Endo. Not a problem, and do not let it stop you starting. Send whatever report your software produces that lists referring dentists and what they sent you — TDO, Dentrix, Eaglesoft, Open Dental, Curve, Denticon, CareStack, or something we have not seen yet. We will tell you within a day whether we can read it, and if we cannot yet, we will build it during your trial rather than after it. Every format we support started with one practice asking.

We read it and rank every referrer by change rather than size, flagging who stopped, who is slipping, who is new and who is quietly growing.

Offices with two dentists are grouped, so one partner slowing while the other picks up does not read as a loss.

Act

The handful worth calling lands on a touch sheet with an owner and a date.

Your team works it and records what they learn, so next month starts from what you know rather than from scratch.

Nothing gets forgotten screen from a demo practice. Every name and figure is invented.

Keep

Thank-yous end to end — the December run, and the baby, the graduation, the anniversary in between. Quoted, ordered, shipped, tracked, and signed by your practice.

It works the other direction too, and this is the part most practices never get to. When the office manager at your second-biggest referrer has a baby, or her daughter graduates, or the practice hits twenty years, or somebody retires — that is the moment a card and something small lands harder than anything you could send in December. Tell us what happened. We handle it that week.

And if you already had a tradition that worked — the pie run before Thanksgiving, the ice cream in the first week of August, the thing the retiring office manager used to organise and nobody has done since — we will run it for you. Tell us what it was. We buy local wherever we can, because the offices notice that too.

Say thank you properly screen from a demo practice. Every name and figure is invented.

The same four steps, in the product.

Sixty-eight seconds on a demo practice — export, the list that comes back, the calls it puts on somebody's desk, and the thank-you going out the door.

A demo practice. Every name and figure in it is invented.

What the doctor gets

One page a month, built for the doctor who will not open a dashboard: the numbers in two sentences, the five worth calling first, the rest of the list, and a plain account of what the data cannot tell you. This is the page that gets forwarded to a partner.

What it deliberately does not do

It reads referral reports. Those reports list referring dentist names, case counts and dollar totals. There are no patient names in them, so there are none in ReferraLens.

It does not dial anyone, send anything on your behalf, or write to your practice management system. It tells you who to call and what changed, and then gets out of the way.

See your own list.

You already run the report. Ninety percent of your schedule depends on the people in it. This just reads it properly.
